About this policy
JIMS Industrial Cleaning Pty Ltd (ABN 92 701 284 835) is an industrial and commercial cleaning company based in Perth, Western Australia. We provide scheduled and project-based cleaning to factories, warehouses, workshops, offices, transport depots, mining support facilities and other commercial premises across the Perth metropolitan area and regional WA.
This policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs). It applies to all personal information we collect, whether through our website at https://jimsindustrialcleaning.site, by email, over the phone, on-site at client facilities, or through our quotation and contracting processes.
In this policy, “personal information” has the meaning given in the Privacy Act: information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not, recorded in any form.
Information we collect
The personal information we collect depends on our relationship with you. It may include:
- Client and prospective client contacts: name, job title, business email address, business phone number, and company details supplied when you request a quote or make an enquiry.
- Site and safety information: details required for site inductions, contractor pre-qualifications, sign-in registers, white card and licence verification, and incident reporting at facilities where we work.
- Supplier and subcontractor information: contact details, ABNs, insurance and compliance documents, and banking details needed to pay for goods and services.
- Employee and applicant information: résumés, references, right-to-work documentation and training records for people who apply to work with us.
- Billing and transaction records: purchase order numbers, invoicing contacts, and payment records associated with commercial accounts.
- Website technical data: IP address, browser type, pages viewed and referral source, collected through our hosting and analytics tools.
Where reasonably possible, we collect business contact information rather than more sensitive personal information. We do not request sensitive information (such as health information) unless it is reasonably necessary for safety or legal compliance, and we will seek your consent where required.
How we collect information
We collect personal information directly from you wherever practicable, including when you:
- complete the quote request form on this website or contact us by email or telephone;
- attend a walkthrough of your facility so we can scope cleaning works;
- communicate with our supervisors and staff while we deliver services at your site;
- complete site induction, contractor pre-qualification or sign-in documentation;
- apply for a position with us, or supply goods or services to us.
We may also collect information from third parties, such as your colleagues who arrange cleaning services on your company’s behalf, client sign-in registers and CCTV at facilities where we work, and publicly available business listings that identify the correct contact for a commercial enquiry.
If we receive personal information we did not solicit and it is not reasonably necessary for our functions, we will destroy or de-identify it as soon as practicable, provided it is lawful to do so.
How we use your information
We use personal information to carry out our business as an industrial and commercial cleaning contractor, including to:
- prepare, provide and follow up quotations for cleaning services;
- deliver contracted cleaning services safely and schedule crews, equipment and consumables;
- meet our work health and safety obligations under WA law, including site inductions and incident management;
- manage client accounts, invoicing, payments and debt recovery;
- verify licences, tickets, insurance and right-to-work status of staff, subcontractors and applicants;
- respond to enquiries, service requests and feedback, and maintain service quality records;
- comply with legal, tax, insurance and regulatory obligations.
We do not sell personal information, and we do not use client contact details to send unrelated marketing. If we ever send service updates or occasional company news, every message will include a simple way to opt out.
Disclosure of your information
We disclose personal information only to people and organisations that need it to help us run our business, including:
- Client representatives: crew names, licence details and induction information shared with site managers at facilities where we perform work;
- Service providers: IT and hosting providers, cloud accounting and payroll platforms, email services and secure document storage used in the ordinary operation of our business;
- Professional advisers: our accountant, bookkeeper, insurer and legal advisers, where reasonably required;
- Authorities: regulators, WorkSafe WA, insurers or law enforcement, where required or authorised by law, including for notifiable incident reporting.
We take reasonable steps to ensure that any third-party provider we engage handles personal information in a manner consistent with the Australian Privacy Principles, including through confidentiality obligations in our supplier and subcontractor agreements.
Cookies and website analytics
Our website uses cookies and similar technologies to function properly and to understand how visitors use the site. Cookies are small text files stored by your browser. We use:

- Analytics cookies that help us count visitors and see which pages are most useful, so we can improve our content.

Security of personal information
We hold personal information in electronic form, secured by password-protected accounts, multi-factor authentication where available, and reputable cloud service providers. Paper records, where they exist, are stored securely at our premises in Perth and destroyed when no longer needed.
Access to personal information is limited to directors, supervisors and administrative staff who need it to perform their roles. We review our storage arrangements periodically, keep software updated, and retain records only for as long as required for our business, safety and legal purposes — typically seven years for financial and contract records under Australian tax law.
Notifiable data breaches
Under the Notifiable Data Breaches (NDB) scheme, we must notify affected individuals and the Office of the Australian Information Commissioner (OAIC) if we experience an eligible data breach that is likely to result in serious harm to individuals whose information is involved.
We maintain an internal response process to assess suspected breaches promptly, contain them, and complete the required assessment within 30 days. If a breach affecting you occurs, we will contact you directly with a description of the breach, the kinds of information involved, and the steps we recommend you take.
Overseas disclosure
Our business operates within Australia, and we prefer providers that store data in Australia. However, some of the cloud services we use (such as email, hosting and accounting platforms) may store or process data on servers located outside Australia, including in the United States or Singapore.
Where that occurs, we take reasonable steps, through our provider selection and contractual terms, to ensure the information is handled in a manner consistent with the Australian Privacy Principles.
Access and correction
You may request access to the personal information we hold about you, and ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, email ceo@jimsindustrialcleaning.site with enough detail for us to identify you and the records concerned.
We will respond within a reasonable period, and aim to do so within 30 calendar days. Access is generally provided free of charge; if a fee is warranted (for example, extensive archived records), we will tell you first and it will not be excessive. In limited circumstances — such as where giving access would unreasonably affect another person’s privacy or is required or authorised by law — we may decline a request, and we will explain our reasons in writing.
Complaints
If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first so we can resolve the matter directly. Lodging a complaint with us is free of charge.
We will acknowledge your complaint promptly, investigate it fairly, and provide a written response within 30 calendar days. If you are not satisfied with our response, you may escalate the matter to the Office of the Australian Information Commissioner:
